Handling Change of Personal Info
Only members in charge of name registering have permission to change the member list. Requests for changing personal information received by the alumni office CC and class coordinators (including cases where coordinators confirm voluntarily) are handled by a member in charge of name registering. After the leader of name registering checks the change, the person whose information was changed is notified my email. Each process is recorded in a master log.
. Undelivered Addresses Process
If a letter is returned in a mass delivery, an “undelivered” flag is added to the address. (It is not deleted yet for verification.) If an email is returned in case of a mass email, an “undelivered” flag is added to the email address.
. Batch Registration Process
This process is for registering a large amount of new members (alumni) by batch, on the occasion of a graduation, etc.
. Response to Referral Request
This process is for responding to requests from members or external parties to reference to member contact information, etc.
