Below, you can find the rough explanation "10 minutes trial" which contains
(1) Loging into SaaS BPM trial environment, (2) Creating a workflow by Drag&Drop and
(3) Starting the process as an operator.
It is possible that you want to copy data of already started processes to a newly starting process; for example,in the case like repeating the process on a regular basis and restarting the process. In Questetra BPM Suite, you can start a new process using already started process’s data. The copied items are limited to (1) items you have the authority to browse and (2) items you are able to enter at the first task.
There is menu button [MY Tasks] on the left side of [Workflow] screen.Clicking on it, a list of Tasks that allocated to you will be displayed on the screen.In Questetra BPM Suite, an Operation is progressed by processing [My Tasks] which is allocated to each user.
“Returning” is the procedure to return the accepted task back to “offered state” (anyone in the team must accept that). In the other hand, “Delegating” assigns the task to a specific member in the team. Therefore, in Questetra BPM Suite, you can throw your own task away. The user who has the “control authority” on the workflow can forcibly assign the accepted task to a member, even if he or she does not belong to the same team with the user.
Despite the work of group allocated has occurred, and if anyone does not belong to the group, Questetra BPM Suite warns as "Error Task". An authorized person as 'Process Administrator' who is designated in each Workflow definition has to check the "Error task" and assign the Task to someone. In some cases, the administrator would better to cancel it.
A process flown through the Workflow is recorded as the Business Results. Business data can be browsed or downloaded by pressing [Process] button in [All Process Record] menu. You can specify any data entries to narrow the field or any data entries to be displayed. And also you can export it as displayed search result in Excel format or in Google Spread sheet format.
The first step for the enterprise SNS (Task Feed) is to follow “Users” (bosses and colleagues). Messages (tweets) and summaries of processed tasks from followed users are shown on your timeline. That is convenient to share ideas widely and to provide knowledge instantly. You will feel closer to members working at far places.
In the enterprise SNS feature (Task Feed), you can follow "Topics (keyword / hush tag)" as well as "User (bosses and colleagues)". For example, if you follow a topic "#Delivery", every post and comment that contain the word "#Delivery", will be displayed on your Timeline. Check out and see how you build a topic "#project-XXX" over cross section project, or follow "Popular Topics"。

With increasing number of users or topics that you are following , it will become difficult to check all of them in the enterprise SNS (Task Feed). "Mentions" is how to specify a person whom you want to tell. Enter name of the person after '@'.

Designing workflow "from scratch" is burdensome more than expected. In Questetra BPM Suite, you can arrange templates and create a workflow for your company'sservice. More than 400 free workflow templates are released like "General process" and "Marketing process".
It would reduce input omissions and provide uniformity of input format if initial value had already been entered when the process was started. In Questetra BPM Suite, it is available to setup initial value (default value) before the process is started. A varying value also can be set as the initial value such as 'the date started' and 'a user who started it'.
In some business operations, you would manage them in unique numbers such as the automatic addition of quote ID numbers and contact management number. This is an explanation of automatic numbering for multiple use like sequence number or monthly resetting numbers, etc.
Timer function (Timer Start Event) automates those processes which started manually everyday (e.g. Daily Report Process, Telecommuting Process etc.). Questetra BPM Suite is capable to start processes for all the members in a group collectively by one Timer Start Event.
There are various cases that make Email arrival as triggers to start Processes, such as to start 'Claim Support Process' when a claiming Email comes in, or 'Failure process' on Failure detection alert mail. Currently, to build a system for such cases, you have to prepare a system that 'To Fetch the HTTP request when an incoming e-mail' on your own, by developing applications or applying "Process Start Service" which Questetra and our partner provide.
When an application, etc. cannot be approved or corrections are needed, the task will be revert back. On the other hand, there are tasks such as processing after approval, processed successively as they arrive. With Questetra, you can design business flow (flow of business operations) freely, coexisting these processes together.
You can create a Workflow, in which deadline on the downstream task can be specified by the upstream task. It makes easy to tell information about deadline such as "This translation must be done by October 2nd" and "this quote must be created till tomorrow". And also available to make it send an 'alarm mail' to the members in the team as one hour before the deadline.
It is possible to create a workflow that the Proposed choices displayed in the downstream can be specified in the upstream process. Select type data is usually defined a fixed choices when designing the workflow. If you want to dynamically display the choices of each project, let them enter proposed choices into "String type data (multiple lines)" at upperstream.
There are some cases that automatic calculation on the entered number is needed in Workflows with number entering such as the total value of items in advance money application flow or as consumption tax on goods purchasing flow. Here is the explanation how to calculate numeric data together and how to use the total value of the number entered in the table.
Those things are possible, sending 'Answer emails' to customers in 'Query support flow', or sending 'Payment Unconfirmed Notification' to client. By placing "Message Throwing Intermediate Event" in the middle of a Workflow, an email that is created automatically in the Workflow, combining 'Sentences according to individual cases' and 'A fixed sentence' can be sent to addresses.
Sometimes Email notification feature insertion would be required in process models such cases as" Notify by Email to the administrative division before the token reaches there"," Email notification of process completed for applicants",etc. With Questetra BPM Suite, you can build a system to send "Data embedded email" automatically, setting "Message Throwing Intermediate Event(Email)" in the workflow.
With setting receive script (Google Apps Script) on Google Docs, Business forms can be generated automatically. You can dynamically generate business forms by sending required process data to Google Docs automatically from the 'Message Throwing Intermediate Event (HTTP)' which set in the middle of the Workflow. Data is sent securely in multipart/form-data encode (POST method).
It is possible to automatically split each task come flowing one after another, by setting "conditional expression" on turning points of a Workflow. But in some cases of 'Approval / Rejection' in requesting Workflow, or to select 'Checked / Revert / Share' in Reporting Workflow, it may be more intuitive and easy to understand to let task processing persons themselves to select the destination task.
In testing a Process Model (Workflow definition), destination address of the "Message Throwing Intermediate Event" may be set 'Test addresses'. To change multiple destination addresses for production run in bulk, [Profile] in [Variables Setting] feature is used.

With the default setting, a task once has been handled by Mr. KATO in 'Employee lane', the task would be his duty when it came back to 'Employee lane' again. To process a task by multiple persons, we define "Team Task" in Questetra.
Data sets that flow in a Workflow are called 'Process Data Items'. In a translating flow for example, the consisting of data item will be 'the original, translation, Review'. At which task each data item to be input are defined by 'Access Permission'. Using 'Set Permission In Batch' will shorten the time for setting many tasks or many data items.
Each Workflow definition (Process Model) can be set four types of its Authorizations, those are 1. Process Model Editor, 2. Process Administrator, 3. Data Viewer, 4. Data Viewer (only Progress Information). For example, those "Data Viewer" can monitor business data in authorized process model which they haven't engaged actual operation. In addition, 1. Process Model Editor Authorization is given to whom created the Process Model (Process Model Creator Authorization in System Authorization required)
It is extremely important to find out improving point to make continuous improvement of Workflow with PDCA cycle. Google Apps is the cloud computing product, which enables to use Gmail, Google Docs and Google Calendar with the unique domain name. Only five minutes are enough to setup for logging into Questetra BPM Suite by Google Apps account. It is also possible to limit login to Google Apps account. That is a secure system by OpenID Federated Login Service.
SAML (Security Assertion Markup Language) is a secure login Authentication. A user can login Questetra BPM Suite just with the ID password which SAML server (ID Provider) manages. To build a Single Sign On (SSO) environment, configuration is needed for both, ID Provider information in Questetra BPM Suite, and Questetra BPM Suite information in ID Provider.
Active Directory is a Centralized management system for user and computer information, developed by Microsoft. In order to login Questetra BPM Suite with ID Password which managed by Active Directory (that means to build a single sign-on), SAML 2.0 server needs to be relayed.
In some cases, the group information and user memberships need to be changed significantly according to reorganization which includes consolidation of departments or large-scale personnel changes. In Questetra BPM Suite, operations in processing are smoothly handed over by "Bulk user registration function", even when a large-scale account change had done.
In the Saas Edition, the maximum save capacity for "Attachment" has been set depending on the license. For example, the maximum capacity of 100GB (and up to 100 people registration) has been set on "SaaS 100 license". Files that "Attached to Workflow" and "Attached to Task Feed" will be aggregated as capacity. Capacity limit is reached, a new process will not be able to start. If you continue to use within the license, please delete unnecessary files.
Questetra BPM Suite Download Edition is equipped Backup Function by system administrators, for a precaution in case an accident. With "Questetra BPM Suite Management" application installed by the installer, every information can be restored by [1.Restore] menu. Note that Questetra BPM Suite SaaS Edition or other edition has no Backup function.

A Workflow can be started by 'HTTP request' from external systems or external applications. POST method is recommended to start the process, but even with the GET method, when getting a request for a RESTful forms like "?key=ABCDEF&data[1].input=100…", it starts the process that stores the received data.

Initial settings for Download Edition. By installing Questetra BPM Suite Download Edition in your server computer, you can build a Business Process Management System of your own in your Local computer environment. To change some of the settings requires Config File editing.
