Check the File Repository Usage and to Remove "Unnecessary Files"

In the Saas Edition, the maximum save capacity for "Attachment" has been set depending on the license. For example, the maximum capacity of 100GB (and up to 100 people registration) has been set on "SaaS 100 license". Files that "Attached to Workflow" and "Attached to Task Feed" will be aggregated as capacity. Capacity limit is reached, a new process will not be able to start. If you continue to use within the license, please delete unnecessary files.

In current version 8.1.0, the number of capacity is multiply 'the maximum number of users' by 1GB. The limit is reached, a new process will not be able to start. Therefore, to check the usage is important at each moment.

 

To Check with the Function for System Administrator

[System Setting] → [File Repository]

The size of files that saved in Questetra BPM Suite can be seen in Workflow, in Task feed, and the total. Please note the limit is on the total.

 

If Close to The Limit

Delete "Unnecessary Files"

Delete "Unnecessary Files"
Files are associated to

  • Process which the file uploaded to, in Workflow function
  • Massage or Comment which the file uploaded to, in Task Feed function

Therefore, when the Process, Message or Comment was deleted, the uploaded files would be also deleted.
Currently, it is impossible to delete only the file itself.

And if a Process model was deleted, all the Process that operated on it would be deleted. Associated files would be deleted together.

With current version of 8.1.0, Deletion of Process Model is the most efficient way to delete files.
