To Setup 'Access Permissions' of each Data Item in A Batch

Data sets that flow in a Workflow are called 'Process Data Items'. In a translating flow for example, the consisting of data item will be 'the original, translation, Review'. At which task each data item to be input are defined by 'Access Permission'. Using 'Set Permission In Batch' will shorten the time for setting many tasks or many data items.

Overview of 'Process Data'

The most important information to define a Workflow is 'Data' as well as 'Flow'. Data sets that flow in a Workflow (Process Model) are called 'Process Data Items'.

Each data item of Process Data need to be defined depending on the characteristics of the business process, which task to be written or read. For example, if you want to let two translator compete on translating on the same Original, the Workflow must be defined that entered data not to be seen each other.

 

To Setup Permissions of Each Task "Read Write / Read Only / None"

The setting in each task which Process data item to be displayed, or which Process data item can be edited, are configured in [Permission] page in the Process Modeler. Clicking on a cell that you want to change the setting, it changes to 1. [Read Write] (editable), 2. [Read Only] (Only to be displayed,) 3. [-] (None - not even displayed).

To Setup "Read Write / Read Only / None" In Batch

In a case that almost all data item of almost all task has permission of Read Write, you might think change every each item to Read Write first, then change the exception individually. Or you might want to change in batch of column or row.

In such occasions, [Set Permissions In Batch] screen will be helpful. Try clicking on [Set Permissions In Batch] button in [Permission] page.

A window will pop up, displaying a table that has Process data item in the row and tasks in the column just the same as Permission page.

Clicking on Process data item name in the header of a row, entire row will be selected.

Clicking on Task name in the header of a column, entire column will be selected.

Or you can drag the table.

Those selected cells will be changed by clicking [none]/ [Read Only ]/ [Read Write] button above the table.

At the last, when you close the pop up screen it will ask you "Are you sure you want to save these Permission settings?", clicking on [yes] to save the change and close.
