Setting "Authorizations"

Each Workflow definition (Process Model) can be set four types of its Authorizations, those are 1. Process Model Editor, 2. Process Administrator, 3. Data Viewer, 4. Data Viewer (only Progress Information). For example, those "Data Viewer" can monitor business data in authorized process model which they haven't engaged actual operation. In addition, 1. Process Model Editor Authorization is given to whom created the Process Model (Process Model Creator Authorization in System Authorization required)

Four Types of Process Model Authorization

There are following four types of Authorization (Process Authorization)

Process Model Editor

An authorization for editing, activating, suspending the process model.
Also authorized to give or remove authorizations to other users including Process Model Editor Authorization.

Process Administrator

An authorization for terminating, deleting the process, and reallocating tasks in the process.

Data Viewer

An authorization for browsing detailed information (history records and Process data) of the process.
Available to browse or to search on list by "All Process Record" function.

Data Viewer (only Progress Information)

An authorization for browsing history records.
The difference between "Data Viewer" is not allowed to brows Process data.

 

User Who Created The Process Model

To whom Created The Process Model, following three authorizations are given automatically.
A "Data Viewer" can do what a "Data Viewer (only Progress Information)" can, so as a matter of a fact, the process Model creator process all of the authorization of it.

  • Process Model Editor
  • Process Administrator
  • Data Viewer

 

To Display and to Modify Process Authorization

To modify authorized of users, System Administrator Authorization or Process Model Editor Authorization are required. This is an explanation how to display and modify Process Authorization as a Process Model Editor.

When you have Process Model Editor Authorization, [Detail] buttons will be displayed on process Model list page.
Clicking it, Detailed screen of Process model will be displayed.

In the Process Model detail screen, list of users who have authorizations are indicated.

Clicking the [Edit Authorization] button on the right, the 'Edit Authorization' screen will be displayed, where you can edit authorized users for each authorization.

In the 'Edit Authorization' screen, allocation rules of each authorization are indicated.
Authorization can be given to multiple users collectively in Group, as well as specifying one by one.
You can add or remove allocation rule of authorization in this page.

You can remove Process Model Editor Authorization as well, but be careful not to remove your own authorization of your own.
If you have lost your authorization, you would not be able to manage corresponding Model.
To restore the authorization, you'll have to ask someone who has the Process Model Editor Authorization or System Administrator Authorization to do so.
